Privacy Policy

This page explains what information we collect when you use our website, why we collect it, and the choices you have. In short: we only collect what we need to help you, and we never sell it.

1. Who we are

In plain English: we're a small local studio, and we're the ones responsible for your information.

Encompass Fitness Studio is a fitness and wellness studio in Estevan, Saskatchewan, Canada. We operate this website, encompassfitness.ca, and we also operate CoFit (cofit.ca), our online coaching program for rural members. When this policy says "we," "us," or "the studio," it means Encompass Fitness Studio. You can reach us any time at admin@encompassfitness.ca or 306-634-0125.

2. What we collect, and how

In plain English: we collect what you type into our form, plus the basic visit data most websites collect.

We collect personal information in two ways:

  • Information you give us. When you fill out our consultation form, we receive your name, email address and phone number.

  • Information collected automatically. Like most websites, we use analytics tools that record which pages you visit, the kind of device and browser you use, and your approximate location (such as your city). This data helps us understand how the site is used; it does not tell us who you are by name.

3. Why we collect it

In plain English: we use your details to get back to you, and we only send you ongoing messages if you say yes.

We use your information to:

  • Respond to your free consultation request and answer your questions.

  • Provide our services if you become a member.

  • Send you emails or text messages about programs and studio news, only with your consent, and you can withdraw that consent at any time.

  • Understand how our website is used, so we can make it better.

4. The laws we follow

In plain English: Canadian privacy and anti-spam law protects you, and we follow it.

We handle personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). When we send commercial emails or text messages, we follow Canada's Anti-Spam Legislation (CASL), which means we ask for your consent first, identify ourselves clearly, and include a working unsubscribe option in every message.

5. Who we share it with

In plain English: only the trusted tools that run our studio. Never buyers, never advertisers.

We never sell your personal information. We share it only with service providers that help us run the studio:

  • Momence, our client management platform, where your consultation form details are stored and where memberships are managed.

  • Our website platform, which hosts this site.

  • Analytics providers, which process the visit data described above.

These providers may store data outside Canada. We choose providers that protect personal information, and they may only use your data to provide their service to us. Payments are not taken through this website, memberships and payments are handled in person or through Momence.

6. How long we keep it

In plain English: only as long as we genuinely need it.

We keep your information for as long as we need it to respond to you, provide our services, and meet legal or accounting requirements. When we no longer need it, we delete it or make it anonymous. If you ask us to remove your details, we will, see "Your rights and choices" below.

7. Cookies

In plain English: small files that help the site work and tell us which pages are useful. You can turn them off.

This site uses cookies for two things: making the site function properly, and analytics (understanding which pages people visit). You can manage or delete cookies through your browser settings, every major browser has a "cookies" or "privacy" section that lets you block or clear them. Blocking cookies may affect how some parts of the site work, but you can still read everything and contact us.

8. Your rights and choices

In plain English: it's your information. You can see it, fix it, or tell us to stop.

You have the right to:

  • Access the personal information we hold about you.

  • Correct anything that's inaccurate or out of date.

  • Withdraw consent to emails or texts at any time, use the unsubscribe link in any message, or just tell us.

  • Complain if you feel we haven't handled your information properly. Contact us first, we'll do our best to make it right. You may also contact the Office of the Privacy Commissioner of Canada.

9. How to reach us about privacy

In plain English: a real person reads these, just ask.

10. Changes to this policy

In plain English: if we change something, we'll update this page and the date at the top.

We may update this policy from time to time as our tools or the law change. When we do, we'll post the new version here and update the "Last updated" date at the top of this page. Significant changes will be flagged clearly on this page.
